Account Setup Guide

You have just purchased your Fill-Rite system and you are eager to get your account up and running. We recommend having a seat for just a few minutes to get a fantastic overview of all our website’s features by watching our onboarding video. Once you have that under your belt, let us walk through the steps needed to get you going!

1. Installation

The very first step to setting up your Fill-Rite system is arranging for hardware installation with a local electrician. Once you have an installation date on the books, you can get started configuring the rest of your account.

2. Company and Account Settings

Our default settings work great for most customers, but if you want to customize specific behavior of the Fill-Rite application and website, you can do that in your Company Settings and Account settings.

Company Settings control global preferences for your whole company, while Account settings control aspects of your own personal user account.

Lastly, you can set up any custom data fields you want to track for your Vehicles and Drivers. Custom Data Fields are used to track additional data about your Drivers and Vehicles that does not change, such as Department or Division.

3. Billing

Add your payment method. We accept credit and debit cards, as well as ACH payments from U.S. bank accounts.

4. Add a Site

Sites are the centerpiece of your Fill-Rite system. Just like the real world, Sites are where your tanks and hardware are located and configured. To add Tanks and Hardware to your account, you will need to add a Site first!

5. Add Tank

Add a tank for each physical tank you want to track. We recommend having your tank’s dimensions ready if you want to track inventory. If you do not want to track inventory, and only want to track the volume that comes out of the tank, you can disable inventory tracking while creating your tank. We also offer integrations with Tank Monitor hardware that will automatically keep your tank’s inventory up to date.

6. Add Hardware

Once your electrician installs your hardware, you can activate it in your account. Activating your hardware will begin your subscription and enable your hardware for use! If you know your serial number ahead of time, it’s very useful to add your Hardware to your account at the time of installation so your installer can test it. Be sure to have your device’s serial number handy when you add it to your account.

7. Configure

Your configuration in the Fill-Rite website should represent the physical connections between your tanks and hardware in the real-world. For each NXFM100 and NXFM150, you will assign a Tank, Pump Name, and Pulse Rate for each Relay. We recommend naming your pumps, so they are easy to recognize.

8. Restrictions: Access Groups and Individual Access

If you want your drivers to be able to access all tanks and vehicles, skip this step. Otherwise, you can create access groups to efficiently control vehicle and tank access. Think about how your company is organized, and how groups of employees need to access your tanks. Once you have added your Drivers and Vehicles, you can add them to your Access Groups, and they will only have access to the assets in Groups with them.

9. Add Drivers

Add drivers to your account, assign them a PIN, and configure their personal restrictions and limits. This can be done individually through the website, or by importing your drivers using our import tool.

Adding your vehicles to the system can be done two ways, individually through the website, or by importing your vehicles using our import tool.
