Transaction Types

Transactions represent fuel moving from one place to another. A driver pumping fuel from a tank, a jobber logging a fill on a tank, or an admin transferring fuel from one tank to another would all be examples of transactions.

Pump

Pump transactions are created automatically when a driver pumps fuel using the Fill-Rite app and will contain all details related to that transaction. They can also be created manually through the website.

Fill

Fill transactions can be created to record a fuel delivery. The volume enter for a fill will be added to the tank’s inventory. The price entered for a fill will be added as a weighted average to your tank’s inventory value.

Fill transactions are never created automatically. They must be logged in the Fill-Rite app, or on the website after your fuel has been delivered. There are two types of fill transactions available in the system:

Gallon Only Fill

Gallon Only fills are used to add a specific volume to a tank’s inventory. When you log a gallon fill, it will increase the current inventory of the tank by the amount entered. Use gallon fills when you believe the current Inventory value of your tank is accurate. To log a gallon, fill on the website:

  1. Go to Manage > Tanks
  2. In the Gear (⚙) menu for the tank, select Add Transaction
  3. Select Gallon Only Fill
  4. Enter the volume of the delivery in the Gallons Filled field
  5. Enter the Price per Gallon of the delivery
  6. If necessary, enter a Bill of Lading number
  7. Click Done

Stick-Fill

Stick-fills can be used to adjust a tank’s inventory to make sure it is accurate. Stick-fills can only be used when the height of fuel in the tank is precisely measured before and after the fuel is added.

When you log a stick-fill, the tank’s Inventory value will be calculated using the tank’s dimensions entered on the website, and set using the Ending Inches entered for the fill. The volume of the stick-fill will be recorded directly from the “Gallons Filled” field.

Tank dimensions are required for stick-fills. They cannot be recorded on tanks that are not tracking inventory, or tracking inventory using the Gallons Only option. To record a stick-fill on the website:

  1. Go to Manage > Tanks
  2. In the Gear (⚙) menu for the tank, select Add Transaction
  3. Select Stick-Fill
  4. Enter the Starting and Ending inches based on the measurements taken at the time of delivery
  5. Enter the volume of the delivery in the Gallons Filled field
  6. Enter the Price per Gallon of the delivery
  7. If necessary, enter a Bill of Lading number
  8. Click Done

Fuel Transfer

Fuel Transfer transactions represent fuel being moved from one tank to another. Transfer transactions can only be created manually on the Fill-Rite website. In Fill-Rite, a fuel transfer transaction involves two separate transactions:

Transfer: Pump

When you create a Fuel Transfer transaction, a Transfer: Pump transaction will be created on the Source tank, which is the tank the fuel is coming out of.

Transfer: Fill

When you create a Fuel Transfer transaction, a Transfer: Fill transaction will be created on the Target tank, which is the tank the fuel is going into.

To create a Fuel Transfer transaction:

  1. Go to Manage > Tanks
  2. In the Gear(⚙) menu for the tank, select Add Transaction
  3. Select Fuel Transfer
  4. Select the Source Tank
  5. Select the Target Tank
  6. Select the Driver that completed this transfer
  7. Enter the Price Per Gallon of the fuel that is being transferred
  8. Click Done

Inventory Adjustment

Inventory Adjustment transactions are created when you manually edit your tank’s inventory or price in the Tank’s settings. These transactions do not necessarily need to match a transfer of fuel and are generally used to correct your tank’s inventory or price if either becomes inaccurate.

Tank Monitor (SMARTank/Morrison) Update

Tank Monitor updates are created automatically by your tank monitor when it is integrated with the Fill-Rite system. Like an Inventory Update, these updates do not necessarily represent a transfer of volume. Each Tank Monitor update will adjust the current inventory to represent it more accurately in the tank.

Pump Bypass

Pump Bypass transactions are created when the physical bypass switch is flipped on your NXFM100 or NXFM150. Because this switch will bypass the app’s authentication, they will not include all the details involved in the transaction, but they will include the volume, date, and time the Pump Bypass switch was flipped.
